Privacy policy

How we manage your personal information.

This policy describes how Adelaide Hills Neuropsychology manages your personal information. Our psychological and allied health services are bound by the Australian Privacy Principles in the Privacy Act 1988 (Cth) and the Health Practitioner Regulation National Law (South Australia) Act 2010.

Personal information

Your information is stored securely and accessed only by your clinician and authorised staff or providers of the practice, as required, in line with our policies and procedures. Physical files are locked, and electronic information is kept secure using industry-compliant practice management software that adheres to Australian privacy laws.

The information we collect includes personal details such as your name, address and phone numbers. As part of providing a psychological service, such as an assessment or treatment, we also collect and record other personal information relevant to your situation — including records of sessions, psychological tests you complete, and information received from others such as your GP, lawyer or insurer.

How your information is collected

  • When you provide information directly to your clinician in session, or in writing (letters, email or text messages).
  • When you interact with our staff, such as administration.
  • When other health practitioners, such as your GP, provide information through referrals, correspondence and reports.
  • When we receive information from other sources, such as lawyers, employers or insurers, through correspondence or reports.

If you’re concerned that information we hold is incorrect, please discuss it with our administration staff or your clinician.

Why we hold your information

Your personal information is gathered and used to provide a psychological or allied health service to you. It documents what happens in sessions and enables your clinician to provide a relevant, informed service. Record keeping is a necessary part of the service and guides treatment.

If you don’t provide information

Psychologists are required to keep clear and accurate client records as part of their professional obligations. If you don’t wish for your personal information to be collected, we may not be able to provide the service. Please discuss any concerns with your clinician.

Confidentiality

Information gathered by your clinician remains confidential except in certain circumstances. In most cases, information is only shared with your consent. We ask for your consent to share information when:

  • Sharing information with a family member, guardian or carer.
  • Discussing your care with others, such as your GP, employer or an agency paying for your attendance.
  • Providing a written report about your assessment or treatment to another professional or agency, such as your GP, lawyer or insurer.
  • Disclosing information in any other way not described in this policy.

Clinicians are required to consult with and receive supervision from colleagues from time to time. If your information is discussed in this context, it is de-identified so you remain anonymous.

Exceptions to confidentiality

Your clinician may release information without your consent when:

  • A court requires information by subpoena, or disclosure is otherwise required or authorised by law.
  • A mandatory report must be made.
  • There is a belief that you or someone else is at risk of serious harm.

Data breaches

If any unauthorised access, disclosure or loss of your personal information occurs, Adelaide Hills Neuropsychology will activate its data breach plan and use all reasonable endeavours to minimise the risk of serious harm.

Accessing and correcting your information

You may request access to, or correction of, the personal information we hold about you at any time, subject to exceptions in the Privacy Act 1988 (Cth). Your clinician may discuss the contents with you and/or give you a copy. If we are satisfied that information is inaccurate, out of date or incomplete, we will take reasonable steps to correct it. Requests can be made to your clinician or our administration staff. Written requests are responded to in writing within 30 days, and an appointment may be made if clarification is needed.

Website enquiries and analytics

Online enquiry forms are processed through our practice management system, Splose, which stores information in line with Australian privacy law and uses Google reCAPTCHA to prevent spam. If website analytics (such as Google Analytics) are enabled, they collect aggregated usage information (such as pages visited and buttons clicked) to help us improve the site; we do not use analytics to identify individuals or to collect health information. Our website may embed Google Maps, which is subject to Google’s privacy policy.

Concerns and complaints

If you have a concern about how your personal information is managed, please tell your clinician or our administration staff. On request, we can provide a copy of the Australian Privacy Principles.

You may also lodge a formal complaint with the Office of the Australian Information Commissioner (OAIC): phone 1300 363 992, online at oaic.gov.au, or by post to GPO Box 5288, Sydney NSW 2001.
